Crystal Reports Info

Note: If you are already familiar with the Crystal Report Icons, then just read this: otherwise you'll be forever bothered by pesky dialog boxes.


Printing


This report can be printed locally, and should appear just as it does in your browser. If you have access to a color printer, it will have color too!
Do not use the print command on your browser menu command File-Print!
Nor the browsers own printer icon in its button bar! You can try it, but I don't think you'll like the results.
Please use the icon provided on the report page itself.

Save As...


This report can also be saved locally (your machine). It can be saved as a Crystal report (use only if you have the program Crystal Report local to your machine only), Rich Text format, Microsoft Word document or Excel Spreadsheet. Once you have saved the report to your local machine or server, you can view or email it to anyone, by attaching it to a standard email message.

Search capability


The search feature allows you to find text in the report. If perhaps you are looking for a particular name, number etc., simply type it into the field next to the binoculars at the top of the report window, and then click on the binocular button. If the text you are searching for is in on the report, it will jump directly to it. Clicking the binoculars again, will jump to the next occurrence, and will continue until no more matches are found.

Page Numbers


Page numbers and total number of pages is indicated at top of report window.
You can jump to any page in the report by typing in the desired page number in the text box that indicates the current page (type in the page number and then hit your enter key).
One draw back as we see it. Until you reach the end of the report, it will not tell you the entire length of the report. It will only show the page number you are on, and next to it, the same page number with a plus next to it to indicate that there are more pages. (i.e. 2 of 2+)
Therefore, to display the total number of pages, you must first go to the end of the report. So if you click on the 'go to last page' icon you will go to the end of the report. Now when you click on any of the other page navigation tools, it will tell you which page you are on and the total number of pages.

Sizing by percentage


If the numbers appear to small (or conversely to large), you can change your view of the report by changing it's sizing by percentage. You can enlarge the report, or reduce it as you see fit.

Drill Down


There is a drill down feature to this report. If your report is long, or you wish to quickly look at the major grouping list, you can turn on the drill down feature by clicking on this button on the report. The major grouping items appear on the left. If there are any sub-groups, you will see a boxed plus [+] sign. When you click on the plus sign, it will open up to show you all the sub-groups that occur in the report under that major group (and turn the plus into a minus [-] to show that is now open, clicking on the minus will close it). Click once on an a grouping name, and it will take you to that page.

Certificates

What are they? They are security mechanism to verify the software company is who they say they are, and then allow you the ability to grant or stop that software package from installing on your machine.

Why are we using them? They are a basic part of software packages being deployed on the web. You will see more of these certificates in the future. As software packages become more powerful on the Internet, we must safeguard our machines from some rogue programmer destroying your computer. One method is certificates, it will verify that the software you are about to run is from the company they say they are. In this instance, Seagate Software, Crystal Reports. You then have the option to accept this software or deny it. If you deny it, it will not run.

Should I accept these certificates? Yes

Why?
This will allow you to view the new reports, and more importantly, to print them.

To accept this certificate, click on the Grant button.
But first! on the far left side, towards the bottom is a check box:

If you don't click here to "Remember this decision", EVERYTIME you come back to view the reports it will ask you Grant permissions again.
Again this is a security feature, but I think we can trust Seagate Software, so it's safe to forgo the security check each time.

If you do not see the certificates, and you can print, you've already granted permission to Seagate Software to use their software to view the reports and also allow them to print. You don't have to worry about it.
