After implementing a password policy in FY04; BITS worked with the different departments to help define and clarify why we had a password policy and methods to ensure we adhered to the password policy without adversely affecting the day to day operations, and keep access to our systems secure. We worked with key personnel to help maintain passwords in a secure manner.

General Statement of Department Condition (required)

   BITS has been working through some restructuring. One of the IT Tech Support personnel, Abigail Goodwin, successfully garnered the new Manager position. The Manager’s position will be taking over more of the day to day operations of the department. This will help the Director concentrate on policies and allow for more planning for the department and the division and ultimately the University. She has also been instrumental in keeping the dept running while the Director was dealing with a serious accident and the long road to recovery.
    A continuation of addressing security concerns continues to play a major role in BITS. Readdressing our preparation method for a new system (the BPR project Chemical Management’s new tracking system and server implementation was rougher than normal due to new procedures that are still in the process of being put in place), and reinforcing current systems continue to be a major component of the department’s work load.
    The BPR continues in the division and BITS has submitted projects for review.
    The Business & Finance Division’s web presence is based around our web site: http://www.bf.westga.edu/, and the design of this site has not changed significantly in many years. Considering that the World Wide Web is a very dynamic medium, we needed to address the look and feel of the web site, and add new features to help people browsing our site find the information they required. We’re also addressing some structural aspects of the site that will hopefully aid us with the new ‘Content Management System’ slated for deployment next year.
    A ‘Critical Asset Inventory’, as part of the Institutional Security plan, is shaping into a central document that will help drive documentation and planning for the department and the division.
    In addition to this, we are still instrumental in aiding the departments in doing their BPR projects.
    The expanding list of services that our One Card system offers and the further refining of the PeopleSoft ERP package presents challenges and opportunities to rethink how we offer services to our Students, Faculty, and Staff.
    BITS was administratively re-aligned under the Assistant Vice President for Business and Auxiliary Services.

Departmental Achievements

    In FY2006, BITS has joined the Security Task Force in setting standards for overall network security. We continue to enhance the financial web reports to aid the campus with their financial information. This past year we deployed new Budget Amendment reports, that were individualized for each department and division. The lab printing package, Pharos, continues to expand into more labs and we are investigating new ways of expanding its capability. The computer deployment procedure was modified to better coordinate deployment with employees.
    As is normal with software anymore: a major theme this past year has been upgrading software. A majority of the software packages used throughout the Business & Finance Division were upgraded this past year:

  • FME in Campus Planning and Facilities
  • Pamet in Public Safety
  • Lenel Door Access System
  • Trackpad in the Warehouse
  • CLM is in a testing phase for a July 1st deployment for SFS
  • Parking system has seen some extensive work by the vendor to identify problems in preparing for the next upgrade.
  • As with all upgrades, this necessitated the creation or updates of support programs and interfaces.

Staff Productivity

Ryan Bennett – Attended Windows XP and Server 2003 Training, and also the ITS sponsored MS Security conference.
Anuradha Chandran – Attended Georgia Summit and Rock Eagle, and also the ITS sponsored MS Security conference in addition to working with multiple CBT sessions.
Abigail Goodwin – Attended Rock Eagle and Exchange Server training, and also the ITS sponsored MS Security conference.
Robin Mullinix – Attended Georgia Summit and HEUG/Alliance (Track Chair for “Project Management and Life Cycle”), in addition to conducting a PSHRMS Query class.
Vince Gibson – Attended Visual Studio Developer Conference and is working through a library of SQLServer 2005 CBT sessions.
BITS Employees also took the “On-line Right to Know Training” and participated in the B&F Customer Training session.
